Site supervisors in Mumbai, Pune or Bengaluru often finish the day with notes on WhatsApp, a set of photos and a report due to the architect or client. This tutorial sets up a simple routine: one fixed template, the day's notes, a few captioned photos, and ChatGPT to turn them into a report. A weekly roll-up follows the same method.

What you need

  • A daily report template in Google Sheets or Excel. Free templates, such as Fuzen's progress report, include a daily tab with task rows, percent complete and photo references.
  • The day's notes, typed or dictated with your phone's keyboard.
  • Three to six site photos: one wide shot and close-ups of the work.
  • A ChatGPT account. Projects let you keep the template and house rules in one place. OpenAI describes Projects as a way to group chats, files and custom instructions.

Step 1: Fix the template

Use the sections most daily reports share: weather, summary, crew on site, materials received, work done against today's tasks with percent complete, issues and delays, next day plan, and photos. Housecall Pro's guidance on daily reports lists weather, a general summary, crew activities, materials and photographs. Give each photo a number and a caption line, so the report and photos can be matched.

Step 2: Take the photos in the right order

Housecall Pro recommends at least one overall shot of the site, plus close-ups of inspections, problems, or work that is about to be covered. Take the wide shot first, then the close-ups, and note the time on each. Before a photo leaves your phone, avoid or blur any worker's face and any ID cards on the site.

Step 3: Turn the day's notes into a report

Open a chat in a Project called "Site Reports" and set the template sections in the project instructions. Then paste the notes:

Prompt

You are writing a daily site report for [project name], [area, city]. Today's date is [date]. Use only these notes from the supervisor: [paste notes]. Write these sections: Weather, Summary (three sentences), Crew on site (count by trade, no names), Materials received, Work done against today's tasks with percent complete, Issues and delays, and Next day plan. If a section has no information in the notes, write "Not reported".

Step 4: Caption the photos

Attach the photos to the same chat, then ask for captions.

Prompt

I am attaching [number] site photos taken on [date]. For each photo, write a caption of up to 15 words. Say what work is visible, the floor or area if it is shown, and whether anything looks unfinished or unsafe. Number the captions to match the photo numbers. If you cannot see something clearly, say so instead of guessing.

Step 5: Check the report against the photos

Read the summary next to the captions. Remove any claim the photos and notes do not support. Percent complete must come from the site, not from the model. If a photo caption and a note disagree, check the site before you send. The site engineer signs off before the report goes out.

Step 6: Send and file the reportGoogle Sheets

Export the final report as a PDF and email it to the architect or client on the same day. Keep the Sheet as the working copy, and save each PDF in the project folder with the date in the file name, for example "2026-10-24-daily-report.pdf".

Step 7: Build the weekly roll-upGeminiGoogle Sheets

At the end of the week, paste the daily summaries into the project.

Prompt

Here are the daily reports for [project name] for this week: [paste summaries and issues]. Write a weekly summary in under 250 words with these parts: work completed, tasks behind plan and the reason given, the three issues that came up most often, and the plan for next week. Use only what the reports say.

If your team uses Google Sheets with an eligible Google Workspace or Google AI plan, Gemini in Sheets can also summarise a tab with the prompt "Summarize this spreadsheet". Google lists this as one of its Sheets examples.

Tips

  • Write notes in the same order each day, such as weather first and then work by area. The model places facts more reliably that way.
  • Enter percent complete from the site. Ask the model to write it up, not to estimate it.
  • Take at least three photos each day, so the client has a clear record of progress.
  • Keep a fixed list of crew trades, so the crew count is comparable from one day to the next.
  • Check captions before you send. A model can misread a photo, especially a dim one.

Keep it safe

Do not upload client contracts, confidential drawings, vendor bank details or GST certificates into a personal ChatGPT account. Remove the client's home address from notes if the chat is in a personal account. Do not share photos that show workers' faces, Aadhaar cards or private spaces inside client homes. A business plan with admin controls is the right setup for a team that works on several sites.
